A DIGITAL RECORD IMPLEMENTATION PROJECT, MOVING A COMPANY FROM PAPER TO DIGITAL

THE CHALLENGE

The system that was being used was coming to its end of life, it wasn’t efficient or user friendly and needed a replacement. At the same time the organisation was transforming from paper to digital. Within the organisation there was no SME (subject matter expert) in the field, meaning that a vigorous approach needed to be taken with stakeholders to understand what was needed from the system in order for it run more effectively.

THE SOLUTION

Our Project Manager managed four projects which varied in complexity and size. She was tasked with creating project management plans and implementing project management techniques to certain elements of the projects. In order to prepare the organisation for the new systems, our PM established and led training sessions for software, stakeholder management and RACI models, using plans and templates appropriate to the project. As well as this, we provided the APM PFQ for all staff, to give stakeholders a good base understanding of the project management world and what their responsibilities were with regards to the in-flight projects.

THE OUTCOME
  • Upskilled the organisation, provided them with robust PM tools for the future and governance.
  • Implemented knowledge in areas that hadn’t been thought about/looked at e.g., stakeholder engagement, background research.
  • Raised awareness for organisational structures that would benefit processes and procedures for the future.
